Who are we looking for?

The Operations Analyst role at XY Sense is the perfect opportunity for a budding entrepreneur and/or recent graduate to grow their experience in technology startups. Working directly with the CFO and CEO on a daily basis, you’ll become the strategy and operations champion at XY Sense. 

This role will have exposure to all aspects of a fast-growing enterprise hardware and software business, including; strategy, multi-market operations & GTM, financial planning & analysis, global hardware supply chain & manufacturing processes, sales & marketing, fundraising & investor relations.

What will this role be responsible for?  
  • Manage operating processes and tools to deliver accurate business reporting, ease of use and scale across teams and departments at XY Sense. (Salesforce, Maxio, Vitally, and other internal tools and processes).  You will be the key coordinator and “glue” of cross-functional business operations platforms at XY Sense.
  • Find new ways to improve our operating processes to support enhanced productivity and business reporting within the revenue generating functions. Think automation for global scale! (The sky’s the limit to the impact you could have here!)
  • Own the delivery of scalable systems and processes for the development of customer proposals, quotes, contracts, invoicing and installation requirements. Empower global teams to work autonomously and asynchronously by automating scalable information management systems.   
  • Track and analyse key metrics and data including pipeline growth, win/loss rates, account growth and renewals, to provide team members with recommendations and insights to improve performance and achieve continual improvement. Provide reporting on key company metrics requirements relating to revenue generating activities.  
  • Co-manage “programs” - cross-functional teams focused on critical goals for XY Sense - by functioning as a right-hand partner to senior leaders, enabling smooth execution and clear information sharing.
  • Support the CEO, Head of Finance/Business Operations and customer facing business representatives with administrative and reporting tasks such as; investor relations, monthly and quarterly reporting, board reports.

Your background to succeed in this role: 
  • Entrepreneurial spirit and mindset. The ability to consistently think and act upon ways to make improvement will be a key metric of your success. 
  • Excellent verbal and written communication skills to a wide variety of stakeholders (enterprise customers, investors, technology teams).
  • Experience using Microsoft Office (particularly strong working knowledge of excel) and/or Google suite to develop professional documentation and provide reporting.
  • Ability to set expectations and prioritise tasks and competing workloads.
  • Strong working knowledge of gen AI tools such as ChatGPT. We think it is a tool to enable scale and efficiency. 
  • Self motivated and hungry to learn and grow a business. 

It’s a plus if you: 

  • Have a Bachelors’ Degree
  • Have experience using online accounting platforms and CRM systems such as Salesforce
  • Can code

Role Location: 

This role will ideally be based in Melbourne, Australia providing close connection to our CEO and CFO. We are however a rapidly growing team so will consider candidates who are based in major Australian cities (think Sydney).
